As this role provides substantial access to children, your appointment will be subject to an enhanced DBS check and registration with the DBS update service. The DBS certificate will contain details of convictions and conditional cautions that are considered to be unspent under the terms of the Rehabilitation of Offenders Act (ROA) 1974. In completing this form it will mean that you have given your permission for a police check to be carried out. Your employment may be terminated if a suitable DBS check is not obtained.

Definitions

Employer: St Michael’s Pre-school

Clients: Children and Parents


All information that:-

  • is or has been acquired by you during, or in the course of your employment (whether paid or unpaid), or has otherwise been acquired by you in confidence;

  • relates particularly to our business, or that of other persons or bodies with whom we have dealings of any sort; and

  • has not been made public by, or with our authority;


shall be confidential, and (save in the course of our business or as required by law) you shall not at any time, whether before or after the termination of your employment (or if applicable at the end of your voluntary work/work experience), disclose such information to any person without our prior written consent.


You are to exercise reasonable care to keep safe all documentation or other material containing confidential information, and shall at the time of termination of your employment with us (whether paid or unpaid), or at any other time upon demand, return to us any such material in your possession.


All written material, whether held on paper or electronically, which was made or acquired by you during the course of your employment with us, is the “Employer’s” property and the “Employer’s” copyright. This includes accounting/financial information, salary data, documents, letters, admissions information, letters/emails about or concerning the “Employer” or “Clients” with whom you may have had dealings with. At the time of termination of your employment with us (paid or unpaid), or at any other time upon demand, you shall return to us any such material in your possession

ICT Usage Agreement

First and foremost, this agreement is designed to protect pre-school staff from harassment, real or alleged misuse and any consequential disciplinary action arising from the use of electronic communication equipment in the pre-school. It is also intended to ensure that the pre-school’s equipment is used responsibly and safely at all times. ICT usage, including the internet, must be primarily concerned with staff pursuing their professional duties.


The purpose of this agreement is to protect the integrity of the system and of all its users. St Michael’s Pre-school will endeavour, where possible, to provide a safe and secure environment for its users. However, please be aware that we cannot guarantee complete safety from inappropriate material. The responsibility must lie with each individual to use ICT in a safe, sensible and responsible way.


Personal mobile phones may be taken into the pre-school. These may be left turned on and should be stored, with your other personal belongings, in the secure cupboard in the office unless otherwise agreed with the pre-school leader, in cases of emergency or the exceptional need to take a call. Personal mobile devices may only be used in the office when no children are present.


Anyone who fails to comply or acts in a way which is deemed inappropriate or irresponsible, may lose access rights to the pre-school computers/devices. In exceptional circumstances, where there are grounds to suspect that a user has committed a criminal offence, the police will be informed, and a criminal prosecution may follow. St Michael’s Pre-school also have a duty to refer to the Disclosure and Barring Service (DBS) information about individuals working with children where they consider them to have caused harm or pose a risk of harm to children.


Anyone who uses the pre-school ICT equipment must read this agreement carefully:

  • I will only access the computer system with prior agreement from Pre-school Management.

  • All IT device use and ‘www’ access should be appropriate to the educational environment.

  • I will not access other people’s files without seeking prior agreement; nor attempt to violate the system or interfere with any user, including mail bombing, spamming and flood emails.

  • Any use of devices will not involve any activities which would be damaging to the pre-school or its reputation, including unlawful or illegal use.

  • I will only send and receive materials or data which is polite and responsible. It must not violate any law or regulation, be defamatory, offensive, abusive, indecent, obscene or constitute harassment.

  • I will report any unpleasant material or messages sent to me or accidentally accessed by me. I understand that my report will be confidential and would help protect everyone.

  • I understand that the pre-school may monitor my device use, check data held on the pre-school devices at any time and may monitor the internet sites I visit.

  • I understand that the pre-school reserves the right to delete any files that may be held on its devices.

  • I will not use the devices to access anything inappropriate i.e., pornographic, racist, sexist or offensive material.

  • I will not download anything via the internet that may threaten the pre-school’s internet systems.

  • I will abide by any ICT copyright and licensing restrictions including internet-sourced material.

  • No software should be installed through any medium without prior agreement from Pre-school Management.

  • All removable media i.e., CDs or memory sticks will only be used with permission from Pre-school Management.

  • Staff using social networking websites such as Twitter, Instagram and Facebook (for sharing information) and You Tube (for sharing personal videos) could be seriously at risk from harassment and invasion of privacy, particularly if they can be identified from their login names. Staff should be aware that any personal information, photographs etc., which they put onto the internet, could be downloaded and used maliciously. Information, photographs and videos that could be damaging to the pre-school or its reputation must not be posted on such websites. Staff will be held legally responsible for any personal views expressed and disciplinary action may be taken.

  • Personal computer devices such as mobile phones and laptops will not be connected to the pre-school computers without permission from Pre-school Management.

  • Each member of staff will be assigned a tablet for use with the online learning journal and to take photography of pre-school children. This tablet will be your responsibility and you may be held liable for any loss or damage.

  • Users are required to report any problems with ICT equipment to Pre-school Management

  • Pre-school devices must not be used for personal matters (for example arranging a holiday, looking at personal interest websites).

  • I will not use my mobile phone to take photographs of children or staff in the pre-school.

  • I will never take my personal mobile phone into the pre-school toilets whilst supporting a child’s toileting needs.
